The Welcoming part of an EP starts long before they arrive in Romania. It starts the day they've been matched.

 

A concept that should be understood better and implemented MORE is the one of CO-DELIVERY of the exchange. This means working closely and hand in hand with the sending entity, more exactly with the EP manager of the EP. 

 

How can we do this?

• asking the EP manager what preparation will the EP receive before leaving and making sure we don't deliver the same trainings again and that we deliver what hadn't been delivered by the HOME entity.

• sending the EP manager information about our country so they can deliver a more targeted cultural preparation for the EP.

• working together to help the EP obtain the VISA (offer visa documents in time, check upon the status of the VISA).

• give tips to the EP manager regarding the re-integration of the EP, accordinf to the expectations and the experiences they had.

 

MATCHING PERIOD

• send reception booklet and websites that describe Romania and the living costs

• send pictures with the accommodation so that they don't have the wrong expectations

• assign a buddy which should contact him and have regular skypes

• launch a needs assesment to see what trainigs to prepare for the EPs

• create a facebook group with the OC team and the EPs and facilitate social interaction

• SET EXPECTATIONS via skype (the buddy should do it)

 

1st week

• pick up from airport and buy a SIM card

• city tour + map

• welcome party

• goal setting session - with the buddy

• soft+hard skills trainings, Train the Trainers

• PROJECT preparation - like a preemeting of a conference - explain the project flow in detail, set a working way, set rules

• team-building with the team

• LCM introduction

• Romanian language lesson

 

DURING

• weekly meeting with internationals + the OC team to organize the activities of the project

• receive a printed schedule for their volunteering work

• receive a travelling offer

• organize feedback meetings and follow-up on GOAL setting

• organize social activities where to bring together the AIESECers and the EPs

• make sure to remind the EPs to fill in the NPS forms which they receive via e-mail

 

Romania is Welcoming! a little bit of branding

 

Make your EPs feel good and make everybody know how attentive you are with your EPs.

Showcase their arrivals, their departures, the parties, the trainings, the lessons with the students and every activity they have.

Take PICTURES and POST them, then SHARE share. Your brand and the trust it inspires is build by the small things that you showcase.

You will be able to use these pictures in the next year, to promote the project in the matching period.
